Bookings App > Calendar > Select booking > Modify > Book
To book a table on behalf of a guest you’ll need to navigate to the time and date of the desired booking. If you need to add an experience to the calendar on the fly, follow these instructions first. Next, select the booking in question, click Modify, then Book.
You’ll be given two options to complete the action. We recommend ‘Book via email’ for two reasons:
- When the guest is directed to the booking they’ll be able to leave notes and select the add-ons themselves
- They’ll be able to safely input their own credit card information and agree to the terms of service, which states all sales are final and non-refundable (though you may choose to carry out a more lenient refund policy)
Book via email
First, you’ll be asked to enter the required guest information. All information about guests is stored in our CRM so it’s in your best interest to collect as much information about new guests as possible. If the booking is being made on behalf of someone else (through a concierge or personal assistant) you may wish to add a booking owner who is different than the booking guest. Next, you’ll have the option to change the party size if needed

Select a comp amount if relevant
The ‘Email expiration’ is the time and date at which the ticket will no longer be held exclusively for the guest.
Finally, when sending a “Book via Email” to a guest, you can choose whether you would like the reservation to automatically return to an available or held state in case it expires.
Please be explicit when explaining this procedure to guests. If they don’t understand payment is required to secure their booking, they may show up expecting a $0 reservation was made on their behalf.
Finally, you’ll be asked to confirm and the invitation to book will be sent to the guest.
The booking will appear orange until the invitation expires or it’s booked by the guest. If the booking expires, it will transition to a yellow held state. If the booking is purchased, it will transition to a red sold state. To cancel or resend an invitation, select the appropriate button below.
When you select ‘Book now’ you’ll have the option to collect payment via credit card immediately or defer payment until the night of service.

Edit the booking size if needed.
Select add-ons on behalf of the guest.
Add a comp amount if applicable.
You’re almost done. One more fork in the road:
Book now - You’ll be asked to enter the guest’s credit card information before confirming all the selections you’ve made. If you select this option, please be aware that the guest is not asked to provide a signature or agree to our Terms of Service so chargebacks may be more difficult to dispute.
Pay later - Confirm selections and you’re done. Make sure your staff is aware they’ll need to collect payment from the guest before they leave.
With either selection, you’ll be asked to complete the booking.
After you complete the booking you’ll notice relevant notes appear in the red header above the party panel.
